LX Pantos automates vendor invoice intake across the US and Europe with DocuPipe
LX Pantos is a global logistics company, moving freight by sea, air and land for customers around the world. With document processing powered by DocuPipe, LX Pantos turns vendor invoices arriving by email in four languages into one standard data format, feeding its electronic invoice management system across six business entities in the US and Europe.
Challenge
A global logistics company pays a long tail of vendors: ocean carriers, trucking companies, customs brokers, warehouses, freight forwarders, utilities and suppliers. Every one of them sends invoices in its own layout, and most of them send by email.
LX Pantos, one of Korea's largest logistics companies, set out to move vendor invoice handling into a single electronic invoice management system (EIMS) shared across its regions. The system needed every invoice as clean, structured data, and it needed that data in exactly the same shape whether the invoice came from New Jersey, Hamburg, Madrid or Paris.
"Our vendors send invoices in every format and every language. We needed every country to produce the same data, so that one system could handle all of it," says HJ Yoo of LX Pantos HQ Finance.
The documents themselves made that hard. A single email can carry several invoices in one PDF, or an invoice bundled with bills of lading and supporting paperwork. Freight invoices, general expenses, factoring invoices and claims all need different handling. Each European country adds its own rules: customs import documents in Spain, company registration numbers and credit notes in France, carrier charge types in Germany.
Solution
LX Pantos chose DocuPipe as the document layer feeding its EIMS, starting with LX Pantos America and expanding to Germany, Spain, France and two US affiliates.
Each business entity has its own intake email address. Vendor invoices sent there go straight into a DocuPipe workflow that splits multi-invoice files into individual documents, classifies each one, and extracts it into a structured result. The EIMS then retrieves those results through the DocuPipe API.
At the center is one master invoice schema. Every region returns the same field names, so the EIMS runs a single integration with no per-country mapping. Where a country has its own requirements, such as Spanish customs documents or French credit notes, the regional version adds them without changing the shared fields.
DocuPipe's team built and tuned the schemas with LX Pantos country by country, reviewing real vendor invoices from each region until the results met production standards.
"The DocuPipe team worked through the details with us one region at a time, using our own vendor invoices," says Yoo.
Results
Six entities, four languages, one data format
LX Pantos America, its two US affiliates, and the German, Spanish and French entities all run on DocuPipe today, processing invoices in English, German, Spanish and French. More than 25,000 vendor documents have gone through the pipeline, all of them delivered to the EIMS in the same standard format.
Invoices routed to the right person automatically
Along with the invoice data, DocuPipe captures who sent each email and who received it. LX Pantos uses this to assign every invoice to the responsible person on its own team, so invoices reach the right desk without anyone sorting the inbox by hand.
Ready for the next region
Because every country shares one master schema, adding a region means adapting a proven setup rather than starting a new project. LX Pantos is now looking at bringing more of its global operations onto the same foundation.
Every country now sends the same data into one system, no matter which vendor sent the invoice or what language it was written in. DocuPipe made a global rollout something we could actually run.
